    In an industry where patient records/files are used for improving the quality of care as well as for legal documentation and billing purposes, it is vital that every record meet the highest standards available in the shortest amount of time.  It all starts with highly qualified and experienced medical transcriptionists.  Our transcriptionists are proficient in many specialty areas, follow AAMT style guidelines, and abide by the strictest of accuracy and confidentiality standards.  Be assured that NO work will be performed outside of the United States.

    In addition to an exceptional transcription staff, we maintain an aggressive Quality Assurance Team so you do not have to worry about the details.  By monitoring your reports on a day-to-day basis, we can ensure that each patient record (or pleading) produced surpasses the highest industry and client standards.  Our quality assurance personnel also provide supportive feedback and training to our transcriptionists, thus encouraging our transcriptionists to achieve high quality ratings and job satisfaction. 

    For our legal transcription, we have highly qualified individuals who have worked in the legal profession as legal secretaries, legal assistants, and paralegals for many years and are fully aware of the protocol which must be followed, including but not limited to strict confidentiality and proficiency and accuracy of work.

    We recognize that medical and/or legal transcription requirements vary from record to record, state to state.  In response, we have created a system that is configurable to meet your individual needs.  You have the option to customize features such as format, management reports, demographic data, and delivery methods.  We pride ourselves on being flexible to meet your needs!

    Security is extremely important to you and your patients.  That is why we take a proactive approach to maintaining superior security systems, including virus protection, firewalls, virtual private network connections, and other industry standard methodologies. 

    Adherence to HIPAA regulations (and the Code of Ethics) is something we take very seriously.  We work closely with legal counsel and technology vendors to ensure that we maintain HIPAA standards (and those of the legal profession) now and in the future.  Our policies and procedures are available for your review during the negotiation process.  We will also provide proof of our general liability and other insurance coverage policy(s), if requested.  

    Spring Hill Transcription houses the most advanced dictation system(s) available.  Our Voice Server acts as the central hub linking all of your dictation and transcription components together.  Our Voice Server has several built-in secure communications options, including 128-bit encryption over the Internet, direct modem-to-modem communications, and LAN and WAN connectivity.

    Our Voice Server accommodates more digital sound file types than any other system on the market including Sony, Olympus, Dictaphone, DVI, Philips, and many others.  The powerful ODBC demographics system makes it easy and quick to link to external databases (such as ADT systems) without the use of programmers. 

Dictation Options:

Our clients may choose various methods for capturing voice data including, but not limited to:

  • Dictate over the telephone.  Our toll-free 1-800-Dial ‘n Dictate service, which is the latest in technology.  The system is user friendly.  Voice quality is excellent.  Turn-around time is guaranteed. 
  • Dictate into handheld digital recorders using memory sticks. 
  • Dictate into PC microphones.  (Philips, Sony, and others.)
  • Extraction from your dictation system (DVI compatible, DicTran (VoiceScribe), Lanier, Dictaphone, Fusion.)  In addition, our system can be used to load most common audio file formats.  These include .wav, mp3, .dct (encrypted dictation), .ra and .rm (RealAudio), .sri (VoiceIt), .dss (Olympus, Lanier, and Grundig), .au, .aif, .msv, .dvf, mp2, .vox, compressed wav (including PCM, uLaw, ALaw, ADPCM, CELP, SBC, Windows Media, DSP TrueSpeech, GSM 6.10), Philips Digital Recorder format, Sanyo Digital Recorder format, and more).
  • Transcription from analog or digital tapes. 
  • PDA (Personal Digital Assistant).
  • Back end editing.  Our system is capable of detecting SAPI compliant speech recognition software (e.g. Dragon Dictate v 6), and will use it to convert the recording to text.  Our MTs can then listen to the recording in high speed to correct and format it.
  • STAT reports on demand at no extra charge.
  • Custom templates including your letterhead. 

Once we have captured the dictation, it securely flows from the Spring Hill Transcription Data Center to be transcribed by our experienced pool of transcriptionists.  The reports are then distributed to our Quality Assurance Editors to be analyzed and proofread.

Upon meeting our strict acceptance standards, the reports are distributed as set forth below.

 Report Distribution:

  • Secure Internet web transfer of files with extensive audit trail. 
  • Secure database-driven repository of transcribed documents.
  • Auto printing in your office. 
  • Printed at our office and delivered via courier (available for our local clients only, within a 10-mile radius from our facility). 
  • Optional document distribution system for fax, secure e-mail, remote printing, and exporting to FTP, web sites, and EMR systems.
  • “Never-lose-a-job” architecture performs job tracking from beginning of recording to return of finished transcription in one easy-to-manage screen.

Technology Services:

  • Bi-directional HL-7 interface to most major brands.
  • RIS and PACS integration into most major brands.
  • Electronic signature.
  • 128-bit encryption for HIPAA compliance (and protection of attorney/client privilege).
  • Creates its own VPN or works within your VPN.
  • Disaster recovery (voice and data is backed up daily in-house and via an offsite location).
  • Minimum of 30 days storage time of transcribed voice files (or until verification of receipt) and 1-year storage time of transcribed data.
